2. Legal Framework and Scope
This policy complies with Statutory Law 1581 of 2012, Decree 1377 of 2013 (incorporated into Decree 1074 of 2015), and other Colombian regulations on personal data protection ("Habeas Data").
It applies to the personal data of all individuals who visit our website or interact with the Foundation: volunteers, people who wish to adopt or provide a foster home, sponsors and donors, customers of the solidarity store, clients of the Hotel Canino Peluditos SD, and people who report an animal at risk or contact us through any channel.
3. Definitions

- Data subject: the person to whom the data refers.
- Processing: any operation performed on personal data, such as collection, storage, use, circulation, or deletion.
- Controller: the entity that makes decisions about the database and its processing; in this case, the Foundation.
- Processor: the entity that processes data on behalf of the controller, such as our technology providers.
- Authorization: the data subject's prior, express, and informed consent to the processing of their data.
4. Data We Collect
We only request the data necessary for each activity:
- Contact (all forms and channels): name, email address, phone number or WhatsApp, city or country, and the content of your message.
- Volunteering: area of interest, age (to verify the minimum age), availability, and how you learned about us. For full-time volunteering, we also require your vaccination status and personal insurance information.
- Adoption and foster homes: identification document, address, information about your home and the people and animals you live with, references, photos or videos of the space, and information obtained during the interview and home visit.
- Donations, sponsorship, and purchases: name, email address, phone number, shipping address, and history of contributions or orders. Payment gateway providers process card and account data directly; the Foundation does not receive or store it.
- Dog Hotel: owner's details, emergency contact information, and the pet information necessary for its care.
- Reports of animals at risk: details of the person reporting, location, description, and photos of the case.
- Browsing: basic technical information (such as browser type, visited pages, and approximate location) collected by our website through cookies.
5. Sensitive Data
Providing sensitive data, such as health-related information, is not mandatory, and you may refuse to answer questions about it. If you do provide it (for example, health conditions relevant to full-time volunteering), we will use it only to protect your well-being and that of the animals, with your express authorization. Photos or videos featuring you during workdays and events will only be published with your authorization.
6. Purposes of Processing
We use your data to:
- Respond to inquiries, reports of animals at risk, and requests sent via the website, email, or WhatsApp.
- Evaluate volunteer applications, coordinate inductions, schedules, and activities, and issue certificates of hours.
- Evaluate adoption and foster home applications, conduct interviews and home visits, and follow up on the animals placed.
- Manage donations, sponsorships, and purchases from the solidarity store, including payment, shipping, invoicing, and donation certificates.
- Provide Dog Hotel services and communicate with you about the care of your pet.
- Send you news about the Foundation and the animals you sponsor, only if you agree. You may opt out at any time.
- Comply with legal, accounting, and tax obligations, and respond to requests from authorities.
- Maintain website security and improve its functionality.
7. Children and Adolescents
Some volunteer activities are open to individuals aged 16 and over; full-time volunteering and adoption are only available to adults. The data of minors under 18 years of age is only processed with the authorization of their parent or legal representative, respecting the best interests of the minor and their fundamental rights, as required by Article 7 of Law 1581 of 2012 and Decree 1377 of 2013.
8. Authorization
By submitting a website form, contacting us via WhatsApp or email, making a donation, or making a purchase, you authorize the processing of your data for the purposes described in this policy. We retain proof of this authorization, and you may revoke it at any time, except when there is a legal or contractual obligation to retain the data.
9. Who We Share Your Data With
We do not sell or rent your personal data. We only share it with:
- Providers that help us operate and act as processors: the website and store platform (Shopify), payment gateways, WhatsApp (Meta), and email services.
- Foundation staff and coordinators who are directly involved in each activity.
- Authorities, when required by law or to protect the safety of people or animals.
Some of these providers store information outside Colombia, for example in the United States or Canada. This international transfer is conducted with providers that offer adequate levels of protection, in accordance with Article 26 of Law 1581 of 2012, and you authorize it by accepting this policy.
10. Cookies
Our website runs on Shopify, which uses cookies and similar technologies to ensure the website and shopping cart function, remember your preferences, and collect usage statistics. You can block or delete cookies in your browser settings, although some website features may stop working.
11. Data Retention
We retain your data only for as long as necessary to fulfill the purpose for which we collected it: while your relationship as a volunteer, sponsor, or customer continues; during the process and follow-up of an adoption or foster home placement; and for the periods required by law, for example for accounting, tax, and donation records. After that, we delete or anonymize it.
12. Security
We apply reasonable technical, human, and administrative measures to protect your data against loss, unauthorized viewing, use, or access. No system is completely secure, but only people who need access to the information to perform their duties have access.
13. Your Rights
As the data subject, you have the right to:
- Know, update, and rectify your personal data.

- Be informed, upon request, about how we have used your data.
- Revoke authorization and request the deletion of your data when there is no legal or contractual obligation to retain it.
- Access your personal data free of charge.
- File complaints with the Superintendency of Industry and Commerce (SIC) regarding violations of the law after exhausting the inquiry or claim process with the Foundation.
14. How to Exercise Your Rights
The Foundation's legal representative handles inquiries and claims regarding personal data. You can write to contacto@peluditossd.org or contact us via WhatsApp at +57 300 990 6915, providing your name and identification, what you are requesting, a way for us to respond to you, and, if applicable, the documents you wish to submit. Your heirs or representatives may also do so, provided they prove their status.
- Inquiries: will be answered within a maximum of 10 business days from receipt. If this is not possible within that timeframe, we will inform you of the reason and respond within a maximum of 5 additional business days.
- Claims (correction, update, deletion, or non-compliance): will be answered within a maximum of 15 business days from receipt, extendable for up to 8 additional business days, with the reason provided. If the claim is incomplete, we will ask you to complete it within the next 5 days; if 2 months pass without a response, we will assume you have withdrawn it. While the claim is being resolved, your data will be marked as "claim pending."
15. Changes to This Policy
We may update this policy. We will publish the new version on this page with its effective date, and if the changes are substantial, we will inform you through our contact channels.
